The Medical Staffers is a brand of Seen Group L.L.C-FZ, a company licensed in Meydan Free Zone, Dubai, United Arab Emirates, with a further office in Spring City, Pennsylvania, United States. This policy explains how we collect, use, share and protect personal data through this website and the work carried out through it.

We handle personal data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "PDPL") and, where it applies to you, the EU/UK GDPR and applicable United States privacy law.

1. Who we are

The controller of your personal data is Seen Group L.L.C-FZ, trading as The Medical Staffers. You can reach us at contact@themedicalstaffers.com.

2. The data we collect

Data you give us

• Your name, employer or facility, job title, email address and phone number when you contact us.
• The content of your enquiries and correspondence.
• Where you are a clinician registering with us: your professional licence and registration details, certifications, work history, references, right-to-work documentation, and the results of background and health screening required for a placement.
• Where you are a facility: contact, billing and company details needed to agree terms and invoice.

Data collected automatically

• Basic technical information (IP address, browser and device type, referring page, and the pages you view) logged by our hosting provider for security and to keep the site running.
• Analytics data, where enabled, on how the site is used in aggregate.

We do not knowingly collect personal data from anyone under 18. Clinician credential, background and health-screening records are collected only from candidates who have chosen to register with us, only where a placement requires them, and only with your consent.

3. Why we use it, and on what basis

• To respond to you. Answering enquiries and preparing proposals. Basis: your consent, or steps taken at your request before entering a contract.
• To place and represent candidates. Verifying credentials, submitting a candidate to a facility, and managing an assignment. Basis: your consent and performance of a contract.
• To supply staff to facilities. Matching, submission, onboarding and invoicing. Basis: performance of a contract.
• To meet healthcare and employment screening requirements. Licence verification, background and health checks where a facility or the law requires them. Basis: compliance with a legal obligation, and your consent.
• To operate and secure the website. Hosting, abuse prevention and aggregate analytics. Basis: our legitimate business interest in a safe, working website.
• To meet legal and regulatory duties. Accounting, tax and free zone requirements. Basis: compliance with a legal obligation.
• To send updates where you have asked for them. Basis: your consent, which you can withdraw at any time.

4. Sharing

We share personal data only where it is necessary, and only with:

• Facilities and clients to whom you have agreed to be submitted, and only for the roles discussed with you.
• Licensing bodies, credentialing and background-screening providers used to verify what you have told us.
• Service providers acting on our instructions, such as hosting, email, cloud storage and accounting providers.
• Other brands in Seen Group, where your enquiry concerns their work and you have been told about it.
• Regulators, auditors or advisers where we are legally required to do so.

We do not sell personal data.

5. International transfers

We operate in both the UAE and the United States, and some of our service providers store data outside the UAE. Where personal data leaves the UAE, we transfer it only to jurisdictions offering an adequate level of protection, or under contractual safeguards, in accordance with Articles 22 and 23 of the PDPL.

6. Retention

We keep personal data only for as long as it is needed for the purpose it was collected, and then for any period required by UAE tax, accounting and free zone record-keeping rules, and for any period a facility or a healthcare regulator requires a placement record to be kept. Enquiries that do not lead to an engagement are deleted after 24 months.

7. Your rights

Under the PDPL you may ask us to:

• Give you access to the personal data we hold about you, and information on how it is processed.
• Correct data that is inaccurate or incomplete.
• Delete your personal data, unless we are required to keep it.
• Restrict or stop certain processing, including direct marketing.
• Transfer your data to you or another controller in a structured, machine-readable format.
• Withdraw consent at any time, without affecting processing already carried out.

Write to contact@themedicalstaffers.com and we will respond within the period required by law. If you are not satisfied with our response, you may complain to the UAE Data Office.

8. Cookies

This website uses only the cookies strictly necessary to serve the page; it does not set advertising or cross-site tracking cookies. If we later add analytics or marketing cookies, we will ask for your consent first through a cookie banner and update this section.

9. Security

We apply appropriate technical and organisational measures: access controls, encryption in transit, and limits on who inside the group can see what, to protect personal data against loss, misuse or unauthorised access. Where a breach is likely to prejudice the privacy, confidentiality or security of your data, we will notify the UAE Data Office and, where required, you.
